Charles Darwin University: Training facilitation and content creation for a university moving through change

The project

Context:

Charles Darwin University (CDU) transitioned to a new HR and Payroll system, as part of a wider ERP roll-out over 5 years, which required comprehensive training for staff across various departments. I worked as a member of the Transformation Team and worked closely with a Training Manager over an 8 month period for this section of the system roll-out.

Approach:

Utilising the Agile ADDIE framework, I adopted an iterative approach to the design and implementation of the training delivery:

  1. Analysis: I conducted a thorough needs analysis to identify the specific training requirements of the staff, working closely with technical teams and subject matter experts to assess the skills needed for a successful transition.

  2. Design: Based on the analysis, I designed an engaging training program that included online resources on SharePoint and Blackboard, as well as face-to-face sessions for 50 super users. The design also incorporated AI-generated instructional videos to enhance understanding.

  3. Development: I collaborated with technical writing teams to ensure all documentation was clear and formatted for easy comprehension. The training materials were developed in a modular format to allow for quick updates based on ongoing feedback.

  4. Implementation: I managed the rollout of the training platform, ensuring that materials were accessible and that super users received in-depth training. The sessions provided them with the knowledge necessary to support their colleagues effectively.

  5. Evaluation: Continuous feedback was gathered from participants throughout the training process. This information informed iterative improvements to the training materials and delivery methods, ensuring that we addressed any issues promptly and enhanced the overall learning experience.

Result:

The training offering successfully supported around 2,000 staff during the HR and Payroll system transition, receiving positive feedback on its usability and accessibility. The Agile ADDIE approach allowed for flexible adaptations based on user feedback, resulting in a comprehensive training experience that built staff confidence and facilitated a smoother transition to the new system.
